Privacy Policy runninGraz
As of: June 2018
As a sports club we are obliged to disclose how we handle data. Data protection is an important issue for us and therefore we comply with all policies in accordance with regulations (e.g. DSGVO of the European Union).
Processing of personal data
As a rule, we do not store any personal data without express consent.
Contacting interested parties
Persons who contact us by e-mail ([email protected]) or via the contact form on the website will be contacted once. The data collected in the process (first and last name, e-mail) are not stored.
Newsletter
At regular intervals the club sends a newsletter. This serves to internally inform members about club activities, events and important information about the club. This newsletter is sent to all members and former members until revoked. Club membership is not tied to receiving the newsletter. It is possible to unsubscribe from the newsletter by sending an informal message to [email protected] to unsubscribe.
Use of image/photo/video recordings
By giving consent (in the membership form), members agree to the taking of photos and videos during sporting or competitive activities. These images are produced for the club's public relations and are posted for this purpose on the club website and social media (Facebook).
No rights, in particular to remuneration, are derived from this consent. Consent can be revoked at any time with effect for the future by e-mail to [email protected] or by letter to the club's registered office (address see end of form). In case of revocation, unpublished recordings will be deleted or destroyed and published recordings will be removed from the website.
Member data
The provision of personal data (first and last name, date of birth, place and country of birth, gender, residential address, telephone number, e-mail, previous club and year of joining) is necessary to fulfill the club's purpose according to the statutes; if not provided, membership in the club is not possible. The data are processed electronically and manually within the club on a contractual basis (club membership). The purposes of processing are: sporting, organizational, financial and professional administration and handling of club matters, member management, sending club and association information, information about events, as well as sending invitations and the sports program. Personal data are used by the club only for the purposes set out. Your data will be transmitted, in the case of the optional athlete registration, to the responsible athletics association and the national federation. No other disclosure to third parties takes place. The data are stored until revoked.
ÖLV athlete registration
From all members who compete in Styrian or Austrian championships, the athlete registration form of the Österreichischer Leichtathletik-Verband (ÖLV) must be completed from 25.05.2018. The data collected or disclosed in this process (first and last name, date of birth, place and country of birth, citizenship, gender, residential address, telephone number and e-mail, copies of passport or identity card, registration certificate for athletes with non-Austrian citizenship) as well as the data recorded or created in the course of being an association athlete (e.g. competition results, photos, videos, live streaming recordings, etc.) are processed by the joint controllers, the ÖLV and the Steirischer Leichtathletik-Landesfachverband (STLV), for the respective purposes of the state and national associations in accordance with the association purposes regulated in the statutes.
These include, for example, maintaining a nationwide athlete database, registration and deregistration of the athlete, ongoing correction and updating of athlete data, preparation and execution of competitions and championships at state and national level, sports result management, implementation of other measures (e.g. further education and training, squad measures), as well as press and public relations.
The legal basis for these processing activities is the performance of a contract pursuant to Art. 6(1)(b) DSGVO, legal obligation pursuant to Art. 6(1)(c) DSGVO [e.g. BAO, state tax laws] and legitimate
interest pursuant to Art. 6(1)(f) DSGVO. The legitimate interest lies in fulfilling the tasks of a state or national association (e.g. bringing athletes to competitions and performance sport, supporting the state association clubs in establishing athletics in the respective federal state, professional and organizational setup of Austrian athletics).
The disclosed or recorded data (e.g. competition results, photos, videos, live streaming recordings, etc.) are stored until revoked. For the purposes stated, the data may be transmitted to IT service providers, media companies and media services. There is no intention to transfer data to a third country or an international organization - however, a data transfer may be carried out on a case-by-case basis by the national federation (in particular for nominations, dispatches to international competitions, European Championships, World Championships, etc.). If neither an adequacy decision pursuant to Art. 45 DSGVO nor appropriate safeguards pursuant to Art. 46 DSGVO are applicable as the legal basis, the data transfer will be carried out within the framework of an exception pursuant to Art. 49 DSGVO.
Competition results are stored and published for archival purposes due to the legitimate interests of the state or national association - including pursuant to Art.17(3) in conjunction with Art. 89 DSGVO - (this also includes, for example, the creation of ranking lists). The right to erasure regarding these data does not exist.
The submitted copies of passport/identity card and, if applicable, registration certificate are the basis for the athlete registration and are stored by the LV together with the registration for archival and evidential purposes (e.g. acknowledgement of the anti-doping regulations) electronically and/or physically due to the legitimate interests of the LVs and the ÖLV. There is no intention to process athletes' data for automated decision-making including profiling.
Athletes have at any time the right to access, rectification, erasure (except processing for archival purposes in the legitimate interest), data portability, restriction of processing and objection, as well as the right to lodge a complaint with the Austrian Data Protection Authority, Wickenburggasse 8, 1080 Vienna.
Registration of an athlete with the state or national federation is voluntary. Without such registration, however, the practice of competitive sport, participation in state and national championships and the training and further education measures for association athletes as well as other offers of the state or national federation are not possible. The complete provision of all the stated data (all input fields are mandatory) is a prerequisite for registration.
